Daily Responsibilities
From opening walk to closing handover

Morning Rhythm

Your day has a rhythm. The structure below guides you through every phase — from the opening figure-8 walk to the closing handover — so every shift starts and ends with intention.

8:00 AM — Opening Walk (Figure 8)

Walk the building in a figure-8 pattern. Check for:

  • Dust bunnies and cleanliness
  • Lightbox on and functional
  • Packaging stock levels
  • Temperature settings
  • Consumable supplies
  • Outside / front lot condition

9:15 AM — Team Huddle

The daily huddle sets the tone and aligns the team before the day begins.

  • Review books: new guests, valuable guests, tricky transitions, group appointments
  • Share playbook changes and daily priorities
  • Assign downtime tasks to team members
  • Review EOD summaries and action items from prior day (customer follow-up, system follow-up, employee follow-up)
  • Review ordering and maintenance needs
  • Monitor info inbox 2–3x per day
  • Monitor Zenoti Connect for unread messages

First Floor Round (Figure 8)

With Experience Guides:

  • Appointment updates, retail status, Rebook Matrix review
  • Give retail praise and feedback on the floor
  • Ask about new guests and their experience
  • Flag any tips at 15% or lower
  • Check that Massage Recommendation forms are being used

With Coordinator:

  • Flips and laundry status
  • Robes and slippers stocked

Space Check — Figure 8 Walkthrough

Front of House

  • Front desk cleanliness
  • Deliveries received and processed
  • Drink station stocked
  • Retail fully stocked and clean
  • Weighted blanket sample in place

Treatment Areas

  • Room lights / music / noise level
  • Curtains 70% closed on open rooms
  • Sauna stocked
  • Berkey water levels
  • Hallway arch / floor / rug

Dome & Back

  • Dome credenza set per playbook
  • Ashes clean
  • Furniture per playbook
  • Blankets rolled, bolsters and eye masks aligned
  • Locker toppers clear
  • A/V closet secure

Closeout with Hourly Employees

  • Review customer follow-up needs
  • Confirm all checklist items completed
  • Note any incomplete items for next shift

Weekly Responsibilities
Recurring tasks that keep operations on track

Weekly Responsibilities

These recurring tasks happen every week and form the backbone of consistent, well-run operations. Use the accordion below to explore each area in depth.

Look for multiple therapists absent on the same day, and floating appointments that need to be re-anchored. Use a side-by-side Sling + Zenoti view for the most accurate picture.

Confirm logistics for private events, classes, and workshops. For moon events, prepare by event type:

  • Aura Photography: Film, boxes, color cards
  • Palmistry: Papers
  • Human Design: Process, print, package

Every Thursday — consumable run. Bank run weekly. See the Sling & Scheduling module for the full bank run protocol.

Prepare and distribute playbooks for the coming week. Organize the shipping container as part of this prep.

Weekly time clock validation. Also confirm:

  • Meditation pay
  • Cash tip log
  • Retail commissions audit
  • Therapist time-off (bi-weekly)

Weekly meeting with Angela and Stella. Agenda: review EOD Summaries and define the monthly retail focus.

Wednesday mornings are dedicated to dome-related projects and planning. Protect this time on your calendar.

Monthly & Annual
Bigger-picture responsibilities

Monthly Responsibilities

Schedule Management

Therapist schedule adjustments aligned with the 15th of the month — the hourly schedule publication deadline. Plan ahead to prevent last-minute coverage gaps.

Insurance Validation

Validate all provider insurances monthly — including medical and board certifications. Keep records current and flag any expirations immediately.

Employee Appreciation Weekend

Plan and execute the monthly employee appreciation event. This is a leadership responsibility and a core part of PALOMA's culture of care.

Maintenance Tasks

Filters and drain pour — monthly maintenance tasks that protect the studio environment and keep systems running smoothly.

Annual (Spring)

Once a year in spring — confirm massage schedules and recurring breaks for all therapists are set through 52 weeks. This prevents accidental coverage gaps for the entire year and ensures no therapist falls off the schedule unexpectedly.
